Hey lovers,

So, you’re engaged. Cue the champagne, awkward ring selfies, and at least 100 Google searches that start with “How to plan a wedding when I have no idea what I’m doing.”

Take a deep breath. You’re not alone. Planning a wedding can feel like herding cats while learning to juggle—chaotic, confusing, and occasionally hilarious. But don’t worry, I’ve got you.

Let’s break it all down in a way that makes sense, so you’re not six months in with only a DJ booked and a mild panic attack setting in. Here’s the real order to book your wedding vendors, explained by your friendly neighborhood wedding photographer (hi, that’s me).

Nancy Arsenault from Love Joy Island Ceremonies Officiant in the Comox Valley by Latitude 49 Photography
A cinematic and heartfelt autumn wedding at 40 Knots Winery in Comox Valley, BC. Tyra and Keith celebrated surrounded by vineyard views, golden fall light, and even a few curious cows nearby. Their day featured emotional vows, a reserved seat tribute for Tyra’s late mom, and golden-hour portraits among the vines. Venue (The place where all the magic happens)

I know you’re excited about flowers and cake tastings, but trust me, you need a venue first. Without a date and location, everything else is just ✨ wishful Pinterest thinking ✨.

Venues often book one to two years in advance, especially for prime summer weekends. Once your venue is secured, you’ve locked in your date, which means all your other dream vendors can start aligning.

Pro Tip: Even if you’re eloping or planning a small celebration, secure your location early to ensure availability and lighting perfection.

Photographer (Your built-in timeline bestie)

Okay, maybe I’m biased—but your photographer should be one of the first people you book. The good ones (wink) fill up fast, often a year or more in advance.

Your photographer is more than someone who takes pretty pictures. They’re your dress-fluffer, veil-holder, timeline wrangler, emotional support human, and unofficial hype person.

Book your photographer right after your venue. Many of us also offer engagement sessions, so you can cross that off your list too.

Planner or Coordinator (Your day-of superhero)

If you’re hiring a full-service planner, bring them in early—even before your venue. They can help find locations that align with your vision and budget.

If you’re going with a month-of or day-of coordinator, book them soon after you’ve secured your main vendors. You don’t want to be the one figuring out why the DJ hasn’t shown up, in full glam and heels.

Caterer and Bar

People will always remember the food. Whether you’re dreaming of an elegant plated dinner or a food truck fiesta, book your caterer early, especially if your venue doesn’t include one.

The same goes for bartenders—because Aunt Susan will want prosecco, and we all know someone needs to manage that open bar responsibly.

DJ or Band (Your professional vibe-setter)

Music sets the tone for your entire celebration. Secure your DJ or band early so they can help you plan ceremony audio and reception flow.

Bonus: Some DJs also handle microphones and sound systems for the ceremony. Ask about package options to keep things seamless.

Florist

Your florist is the artist who brings your Pinterest board to life. From romantic, wild arrangements to modern minimalism, flowers play a huge role in the feel of your day.

Reach out about eight to twelve months before your wedding. If you have a florist you’ve been eyeing, sooner is always better.

Hair and Makeup

Your glam team matters. These artists help you feel confident and camera-ready from first look to last dance.

Book six to nine months out and schedule a trial. You want to be sure your hair and makeup feel like you—just with a little extra glow.

Officiant

Whether it’s a close friend getting certified or a professional officiant, book around six to eight months in advance. The right officiant sets the tone for the ceremony, creating a balance of warmth, humor, and emotion.

Cake or Desserts

This is the fun part. Schedule your tastings around six months before the wedding. Whether it’s a classic tiered cake or a spread of donuts, dessert is where you can get creative—and eat your research.

Rentals, Décor, Stationery, and Extras

Save these details for three to six months before, unless you have your heart set on something specific like that velvet couch or neon “Til Death” sign.
